1. INTRODUCTION
Senti-Fi ("we," "our," or "us") is a B2B SaaS platform built for licensed automotive dealerships. Senti-Fi is a subsidiary of Senti, parent company. We provide AI-powered campaign management tools that enable dealerships to communicate with their customers via SMS and email — including F&I product promotions, service reminders, customer re-engagement campaigns, and lease-end outreach.
This Privacy Policy describes how we collect, use, store, share, and protect information in connection with the Senti-Fi platform. It applies to dealership account users and to the end-customer data that dealerships manage through our Service.
By using Senti-Fi, you agree to this Privacy Policy.
2. OUR ROLE: DATA PROCESSOR VS. DATA CONTROLLER
Senti-Fi operates as a data processor acting on behalf of automotive dealerships, who are the data controllers. This means:
- Dealerships own their customer data and are responsible for how it is collected and used.
- Senti-Fi processes that data only as instructed by the dealership to deliver the Service.
- Dealerships are solely responsible for obtaining valid consent from their customers before using Senti-Fi to contact them.
- Senti-Fi does not independently use, sell, or monetize dealership customer data.
If you are a vehicle owner who received a message through Senti-Fi on behalf of a dealership, please contact that dealership directly, or reach us at [email protected] and we will coordinate with the relevant dealership.
3. INFORMATION WE COLLECT
3.1 Dealership Account Data
Business name, address, phone number, authorized user names, email addresses, role/permission assignments, and billing information.
3.2 End-Customer Data (processed on behalf of dealerships)
Dealerships upload or sync customer records including: full name, email address, phone number, vehicle year/make/model, VIN, purchase date, service history, F&I product enrollment status, financing type, and lease end dates. This data is used solely to power the dealership's campaigns and communications.
3.3 Communications Data
When messages are sent through the platform, we log: message content, delivery status, timestamps, carrier response codes, open events, click events, and opt-out/opt-in requests. These records are retained for compliance and audit purposes.
3.4 Usage and Technical Data
IP addresses, browser type and version, pages accessed, session duration, error logs, and device identifiers collected automatically when dealership users access the platform.
4. SMS MESSAGING — HOW IT WORKS
Senti-Fi is an SMS messaging platform and aggregator. Dealerships use our platform to send text messages to their customers through carrier-connected messaging infrastructure (including Plivo). We do not initiate or author messages independently — all SMS campaigns are created, reviewed, and triggered by dealership users.
Campaign types sent through Senti-Fi include:
- F&I product promotions (extended warranty, GAP insurance, tire & wheel protection, prepaid maintenance)
- Vehicle service reminders and seasonal maintenance outreach
- Lapsed customer re-engagement (customers who haven't visited in 12+ months)
- Lease-end and financing renewal notifications
- Loyalty and anniversary outreach
- Post-sale follow-up and satisfaction check-ins
Message frequency varies by dealership and campaign. Customers may receive between 1 and 8 messages per month depending on the dealership's active campaigns.
Message and data rates may apply based on the recipient's carrier plan.
5. CONSENT AND PRIOR EXPRESS WRITTEN CONSENT (PEWC)
Senti-Fi only transmits messages to customers on behalf of dealerships. Dealerships are contractually required to obtain prior express written consent (PEWC) from each customer before sending marketing SMS messages through the platform. Acceptable consent methods include:
- Written consent obtained at the point of sale or during service intake
- Online consent forms on the dealership's website
- Signed service or financing agreements containing an SMS consent provision
- Digital consent via a dealer CRM or lead management system
Dealerships must maintain documented evidence of consent for each contact and must not upload contacts who have not provided valid PEWC. Senti-Fi reserves the right to audit dealership contact lists and suspend access for non-compliance.
6. OPT-OUT AND OPT-IN HANDLING
Opting Out: Recipients can opt out of SMS messages at any time by replying with any of the following keywords: STOP, STOPALL, UNSUBSCRIBE, CANCEL, END, QUIT
Upon receiving an opt-out reply, Senti-Fi immediately suppresses that number for that dealership and sends a one-time confirmation: "You have been unsubscribed and will receive no further messages from [Dealership Name]. Reply START to re-subscribe."
Opt-outs are permanent unless the recipient explicitly re-consents.
Getting Help: Recipients can reply HELP at any time to receive: "For help, contact [Dealership Name] at [phone] or [email protected]. To stop messages, reply STOP."
Re-subscribing: A previously opted-out recipient may reply START or YES to re-subscribe. Senti-Fi will send a confirmation and resume message delivery.
Opt-out records are maintained indefinitely and are never overwritten by new campaign uploads. Dealerships cannot manually override or reinstate an opted-out contact without a new independent consent record.
7. HOW WE USE INFORMATION
- To deliver SMS and email campaigns on behalf of dealerships
- To process opt-outs and maintain suppression lists
- To generate AI-assisted audience segments, campaign copy, and F&I product recommendations
- To track message delivery, engagement, and campaign performance
- To detect fraud, abuse, spam, and security threats
- To comply with TCPA, CAN-SPAM, carrier regulations, and applicable state law
- To provide customer support to dealership users
- To operate, maintain, and improve the platform
8. SHARING OF INFORMATION
We do not sell personal information. We share data only with:
- Messaging infrastructure providers (Plivo, Twilio) — to route and deliver SMS messages on behalf of dealerships
- Cloud infrastructure providers (AWS) — to host, store, and process data securely
- Email delivery providers — to send email campaigns on behalf of dealerships
- Analytics and monitoring tools — to maintain platform reliability
- The dealership — data belonging to a dealership account is accessible only to that dealership's authorized users
- Legal authorities — when required by law, court order, or to protect the rights and safety of others
- Business successors — in connection with a merger or acquisition, under confidentiality obligations
All third-party providers are bound by data processing agreements and may not use dealership customer data for their own purposes.
8a. NO SALE OR SHARING OF MOBILE INFORMATION
We do not sell, rent, share, distribute, or otherwise disclose mobile phone numbers, SMS consent data, or other personal messaging information to third parties or affiliates for marketing or promotional purposes.
Mobile information collected through our Services — including phone numbers, opt-in records, and messaging consent data — will only be used for the purpose of providing the Services requested by the user and for compliance with applicable laws, carrier requirements, and telecommunications regulations.
No mobile information will be shared with third parties or affiliates for their own marketing or advertising purposes.
Information may only be disclosed:
- To telecommunications providers and vendors necessary to deliver messaging services
- To comply with legal obligations or lawful requests
- To protect the security, integrity, or rights of the Company and its users
All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
9. PROHIBITED USE
Dealerships are prohibited from using Senti-Fi to send:
- Messages to contacts who have not provided valid PEWC
- Messages to numbers on active opt-out/suppression lists
- Spam, phishing, or deceptive content
- Content that is unlawful, harassing, threatening, or discriminatory
- Regulated financial solicitations without required disclosures
- High-risk content categories prohibited by carriers (adult content, gambling, cannabis, etc.)
Violations may result in immediate suspension, termination, and reporting to carriers and regulators.
10. DATA RETENTION
- Dealership account data: retained while active and for 2 years after termination
- Message logs and delivery records: minimum 4 years (TCPA compliance)
- Opt-out records: retained indefinitely
- AI usage logs: retained for 12 months
11. SECURITY
We implement: TLS 1.2+ encryption in transit, AES-256 encryption at rest, VPC-isolated database infrastructure with private subnets, role-based access controls, multi-factor authentication for admin access, and regular security reviews.
12. YOUR RIGHTS
Dealership users may access, update, or delete account information through platform settings or by contacting support. Vehicle owners may contact the relevant dealership or email [email protected]. California residents and residents of other states with applicable privacy laws may have additional rights — contact us to exercise them.
